This Privacy Policy describes Our policies and procedures on the collection, use and disclosure of Your information when You use the UltraFix Pro mobile application (the "Service") and tells You about Your privacy rights and how the law protects You.
We use Your Personal Data to provide and improve the Service. By using the Service, You agree to the collection and use of information in accordance with this Privacy Policy.
Interpretation and Definitions
Interpretation
Words whose initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.
Definitions
For the purposes of this Privacy Policy:
- Account means a unique account created for You to access our Service or parts of our Service.
- Application ("UltraFix Pro") means the software program provided by the Company and downloaded by You on any electronic device.
- Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to "UltraFix Appliance Repair" LLC, 31602 Roldan Ln, Fulshear, TX 77441, United States.
- Country refers to: Texas, United States.
- Device means any device that can access the Service such as a phone or a tablet.
- Personal Data is any information that relates to an identified or identifiable individual.
- Service refers to the Application.
- Service Provider means any natural or legal person who processes the data on behalf of the Company, including third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.
- Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a screen visit).
- You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
Collecting and Using Your Personal Data
Types of Data Collected
Personal Data
While using Our Service, We may ask You to provide Us with certain personally identifiable information that can be used to contact or identify You. Personally identifiable information may include, but is not limited to:
- Account & contact information: first name and last name, nickname, email address, phone number, and password.
- Address information: street address, city, state/province, country, and ZIP/postal code.
- Profile information: date of birth, gender, marital status, uniform size, and profile photo.
Some of the information above (in particular gender, marital status, and date of birth) may be considered sensitive. We collect it solely to create and operate Your professional account and provide the Service, and We treat it accordingly in our app-store privacy disclosures.
Payment and Financial Information
The Service supports in-person card payments (including Tap to Pay on iPhone) through our payment processor Stripe. Card details (card number, expiry, security code) are collected and processed directly by Stripe and are not stored on Your device or on our servers. We receive and store payment metadata linked to a job or invoice — such as the payment amount, currency, status, and the Stripe transaction / payment-intent identifiers. Stripe's handling of Your payment information is governed by Stripe's privacy policy: https://stripe.com/privacy.
Location Data
With Your permission, We collect Your device's precise location while You are using the app (foreground / "when in use"). We use it to:
- show Your current position on the job map; and
- enable in-person card payments via Stripe Terminal / Tap to Pay, which require location access.
We do not collect location in the background. You can enable or disable location access at any time through Your device settings; disabling it may limit map and in-person payment features.
Photos, Camera and Media
With Your permission, We access Your device camera and photo library so You can attach photos to a job or report and set a profile picture. Photos You choose to attach are uploaded to and stored on our servers as part of Your job records. We do not access Your photo library for any other purpose.
Calls and Microphone (Twilio)
The Service lets You place voice calls to customers from within the app, powered by Twilio. To do this We access Your device microphone during a call and process the phone number You dial. The call is routed through Twilio; Twilio's processing is governed by Twilio's privacy policy: https://www.twilio.com/legal/privacy.
Call recording. Calls placed through the app are recorded. We record call audio for quality assurance, support, record-keeping, and dispute-resolution purposes. Recordings are processed via Twilio and retained for one (1) month, after which they are deleted. Where the law of Your or the customer's jurisdiction requires it, You are responsible for informing the other party that the call is being recorded before continuing.
Usage Data
Usage Data is collected automatically when using the Service. It may include information such as the screens of the Service that You visit, the time and date of Your use, the time spent on those screens, Your device's Internet Protocol (IP) address, device type and model, mobile operating system, unique device identifiers, and diagnostic data.
Device Identifiers and Push Notifications
We collect a unique application instance identifier and, where You enable notifications, a push notification token issued by Firebase Cloud Messaging (Apple Push Notification service on iOS). We use these to deliver notifications related to Your jobs and account. You can disable push notifications at any time in Your device settings.
Biometric Authentication
If You enable biometric sign-in (Face ID / Touch ID / fingerprint), the biometric match is performed entirely on Your device by the operating system. We never receive, transmit, or store Your biometric data; the app only stores a credential securely in the device keychain to unlock Your session.
Use of Your Personal Data
The Company may use Personal Data for the following purposes:
- To provide and maintain our Service, including to create and manage Your Account, schedule and manage jobs and invoices, process in-person payments, enable customer calls, and display job locations on a map.
- To manage Your Account and Your registration as a user of the Service.
- To contact You by email, telephone calls, SMS, or push notifications regarding updates or service-related communications.
- To provide customer support and to respond to Your requests.
- For analytics and to improve the Service, to understand how the Service is used and to monitor its stability and performance.
- For safety, security, and to detect and prevent fraud or abuse.
- To comply with legal obligations.
Legal Bases for Processing (GDPR)
Where the EU/UK General Data Protection Regulation applies, We process Your Personal Data on the following legal bases: performance of a contract (to provide the Service and Your Account); Your consent (for camera, photos, precise location, microphone, and push notifications); compliance with a legal obligation; and our legitimate interests (to secure, maintain, and improve the Service). You may withdraw consent at any time through Your device permission settings.

We share data with the following Service Providers only as needed to operate the Service. Each processes data under its own privacy policy:

We may also disclose Personal Data if required to do so by law, to protect our rights, or in connection with a merger, acquisition, or sale of assets.
We do not sell Your Personal Data, and We do not use it for cross-app advertising or tracking.
Analytics
We use Google Analytics for Firebase to understand how the Service is used. It may collect information such as screens viewed, sessions, and device identifiers. This data is shared with Google as a Service Provider and is not used for advertising. For more information, see Google's privacy practices: https://policies.google.com/privacy.
Retention of Your Personal Data
The Company will retain Your Personal Data only for as long as is necessary for the purposes set out in this Privacy Policy. We retain Your account and profile data for as long as Your account is active. Call recordings and Usage Data are retained for one (1) month and then deleted, except where We are legally obligated to retain them longer or where they are needed to strengthen the security of the Service. We retain payment and invoice records for as long as required by applicable tax and accounting laws. When You delete Your account, We delete or anonymize Your Personal Data except for the records We are legally required to keep.
Transfer of Your Personal Data
Your information, including Personal Data, is processed at the Company's operating offices and in any other places where the parties involved in the processing are located, including the United States where our Service Providers operate. By using the Service You consent to this transfer. We take all steps reasonably necessary to ensure that Your data is treated securely.
Security of Your Personal Data
The security of Your Personal Data is important to Us. All communication between the app and our servers uses encrypted connections (HTTPS/TLS). However, no method of transmission over the Internet or method of electronic storage is 100% secure, and We cannot guarantee absolute security.
Your Data Protection Rights (GDPR/UK GDPR)
If You are located in the European Economic Area or the United Kingdom, You have the right to: access, correct, update, or request deletion of Your Personal Data; object to or restrict its processing; request data portability; and withdraw consent at any time. Your California Privacy Rights (CCPA/CPRA)
If You are a California resident, You have the right to: know what categories of Personal Data We collect and how We use them; request access to and deletion of Your Personal Data; and not be discriminated against for exercising Your rights. We do not sell or share Your Personal Data for cross-context behavioral advertising, so no "Do Not Sell or Share My Personal Information" action is required. Account and Data Deletion
You can delete Your account directly in the app at any time: open the Profile tab and tap Delete account, then confirm. Deleting Your account removes Your profile and associated personal data from the Service, subject to any data We are legally required to retain (for example, payment and invoice records). You may also request deletion of Your data by contacting Us at info@ultrafix.com.
For the purposes of the Google Play Data safety form, data deletion can be requested (a) in the app via the Profile tab → Delete account, or (b) by email to info@ultrafix.com; the public URL of this Privacy Policy serves as the deletion-request URL.
Children's Privacy
Our Service is intended for use by service professionals and is not directed to anyone under the age of 18. We do not knowingly collect Personal Data from children. If You are a parent or guardian and believe Your child has provided Us with Personal Data, please contact Us and We will take steps to remove that information.
Links to Other Websites
Our Service may contain links to other websites that are not operated by Us (for example, our Service Providers' sites). We strongly advise You to review the Privacy Policy of every site You visit. We have no control over and assume no responsibility for the content or practices of any third-party sites or services.
Changes to this Privacy Policy
We may update Our Privacy Policy from time to time. We will notify You of any changes by posting the new Privacy Policy on this page and updating the "Last updated" date above. You are advised to review this Privacy Policy periodically for any changes.
